How to reduce appointment no-shows (without nagging your clients)

Most no-shows are not rudeness. They are friction. If changing an appointment means phoning you during the exact hour you are busiest, a certain number of people will quietly not turn up instead. The fastest way to cut no-shows is to make changing the appointment easier than skipping it.

1. Let clients reschedule themselves

Every confirmation email from BookYourSlot carries reschedule and cancel links. A client whose day falls apart moves the slot in two taps, at 11pm if that is when they remember. You get a freed slot someone else can take, instead of an empty chair and no explanation.

This one change does more than any reminder system, because it converts a silent no-show into a rescheduled booking.

2. Confirm in writing, immediately

Confirmation emails go out the moment a booking is made, and again whenever it is moved or cancelled. The client has the date, the time in their own time zone, and the location in their inbox. A surprising share of no-shows are simply people who wrote the wrong day down.

3. Use minimum notice to protect the edges

Set a minimum booking notice so nobody can grab a slot twenty minutes before it starts. Same-day impulse bookings are the ones most likely to evaporate, and they are also the ones you are least able to prepare for.

4. Add buffers so a late arrival does not cascade

Buffers before and after an appointment absorb overruns. Without them, one client arriving ten minutes late pushes every following appointment, and the people at the end of the day are the ones who give up and leave.

5. Require confirmation for the expensive slots

Any event type can be set to require your approval before it is confirmed. Use it for long or high-value appointments: the client requests, you approve, and both of you get the email. It filters out the speculative bookings without adding friction to your routine work.

Common questions

Does BookYourSlot send reminder messages before the appointment?

Not today. Confirmation, reschedule and cancellation emails are automatic, but scheduled reminders before an appointment are not part of this edition. If reminders are essential to you, you can build them yourself from booking webhooks (here is how).

Can I charge a deposit to stop no-shows?

Payments are not configured on this instance, so no. The levers above are the ones that work today, and in practice easy self-serve rescheduling does most of the work a deposit would.

What if someone books and never replies?

Their booking still appears on your calendar with their email address, so you can reach them directly. For repeat offenders, switch that event type to require confirmation.
